Perform a full range of duties at a senior secretarial level for the Athletics Department. This position will assist the Athletics department, mainly focusing on the areas of external relations including athletic development, marketing, fan engagement, corporate sponsorship and ticket operations. Specifically, this role will primarily focus on aiding the external relations team in the form of processing gift payments, running reports and other tasks as assigned. Responsibilities include but are not limited to answering phones, organizing meetings, checking Pride Club email; responding to inquiries and directing appropriately; maintaining and updating Pride Club member database; extracting and preparing department reports, creating spreadsheets and formatting as needed for department review; deposit and track payments for team and club related activities; communicate with sponsors and club participants as directed and follow up regarding any outstanding invoices; assist with contract paperwork as needed; track office supplies and order as needed; assist with annual report mailings, reviewing reports and cleaning up the data as needed. This position will be responsible for assisting the athletic administration and coaches by assuming the duties associated with clerical support in order to optimize workflow procedures and efficiency in the office. This position will assist in planning and distributing information both to internal and external constituents. May perform other duties not specifically defined above, but which require the same degree of skills and which are normally included within the above job title.
Work schedule: Monday – Friday 9am-5pm
Qualifications: This position requires a detail oriented individual who has the ability to multitask, work independently and meet tight deadlines with minimal supervision in a fast-paced environment. Ideal candidate will have the ability to handle confidential information with discretion. Excellent interpersonal, attention to detail and communication skills required. Proficiency in Microsoft Word, Excel, PowerPoint, Outlook required. Familiarity with Banner preferred.
