SUMMARY OF JOB RESPONSIBILITIES:

The Physician Practice – Medical Assistant (PP-MA) works with his/her physician(s) to provide direct outpatient care. As a member of the patient care team the PP-MA is trained in performing a wide range of skilled administrative and clinical duties. The PP-MA performs a variety of age specific duties in providing direct outpatient care. All clinical care is done under the direction and supervision of a physician, mid-level provider and/or RN who has determined appropriate tasks for delegation. The PP-MA makes observations as directed by the physician and/or RN and reports deviations.

EDUCATION :

  • Graduate of an accredited medial assistant program, preferred.
  • Certification as a Medical Assistant, preferred.
  • CPR certification, required.

EXPERIENCE:

  • Experience providing administrative duties and clinical care in a physician practice or ambulatory clinic setting, preferred.
  • Computer literacy, required.

PRINCIPAL JOB ACCOUNTABILITIES:

  • Receives patient from the waiting room and escorts the patient to the exam room.
  • Obtains and records vital signs, height and weight, chief complaint, medication and allergies in the patient medical record.
  • Records medical, surgical and family history in the patient medical record.
  • Reviews MyChart with the patient and registers them upon patient approval.
  • Enters the patient’s pharmacy into the patient medical record.
  • Enters the patient’s care team information (i.e. PCP, referring physician, specialists, etc…).
  • Schedules tests as directed by the physician or mid-level provider.
  • Records patient critical lab values, adverse reactions and pertinent information and promptly reports to the physician and/or RN.
  • Prepares patient and assists the physician with set up and clean up of procedures (i.e. pap smear, biopsy, etc…) as per protocols.
  • Anticipates patient and caregivers requests and needs and responds in a timely manner.
  • Collects and records quality assurance data on equipment (i.e. pulse oximeter, refrigerator, emergency cart, etc…) according to protocols.
  • Observes universal precautions and aseptic techniques with patient and the proper use of medical instruments and equipment.
  • Performs and safely operates all medical equipment according to the manufacturers’ instructions and protocols.
  • Performs computer order entry and scheduling functions in appropriate systems (i.e. Star, CarePATH, etc…).
  • Able to perform administrative duties (i.e. scheduling, registration, insurance authorization, answering phone, etc…).
  • Acts as a liaison and support person for the patient and caregivers.
  • Assists with patient education and discharge instructions in conjunction with the physician and/or RN.
  • Inventories exam rooms and determines supply needs. Conveys needs to the appropriate personnel.
  • Assist with the daily cleaning of exam rooms and clinic station areas. Assess maintenance needs.
  • Performs other job duties as assigned.

  • Applies and removes casts, splints and braces.
  • Prepares joint injections to be administered by physicians and/or mid-level providers.

Family Health Center, Austintown Family Health Care and Geriatrics Assessment Center

  • Performs CLIA waived testing per manufacturer directions and protocols.
  • Performs urine analysis, urine pregnancy, finger stick glucose, PT/INR, hematocrits, hemocults, quick view flu and Strep A testing.
  • Assists the physicians and/or mid-level providers with Nitrazine testing
  • Applies and removes cardiac holter monitors.
  • Performs pulmonary function, peak flow and pulse oximetry oxygen saturation testing.
  • Administers pulmonary nebulizer treatments.
  • Performs ear irrigations.
  • Has knowledge and competent skills to perform infant, child, adolescent and adult immunizations and simple injections and intra dermal injections.
  • Administers TD, flu, pneumovax, insulin, PPD and all infant and childhood immunizations.
  • Assists patient and physician provider with prescription assistant application and medication receiving process (i.e. logging of medication, printing patient education information from web site, etc…).
  • Maintains the Dental Van schedule (i.e. scheduling, rescheduling or cancelling appointments).
  • Schedules and follows-up referrals and contacts no-show patients as directed by the nurse or physician provider.
  • Obtains ABNs for services that may not be reimbursable by Medicare prior to ordering ancillary tests and services, on an as needed basis.

Austintown Family Health Center Lead Medical Assistant

Serves as a clinical expert for the practice

Demonstrates clinical expertise in the care of the assigned patient specialty and is recognized as a resource in practice specialty by physicians and staff. Provides orientation for new staff that is planned and consistent. Maintains and develops clinical knowledge through participation in continuing education programs. Consistently follows through and implements actions. Actively participates and planning monthly staff meeting.

Facilitates clinical operations

Knowledgeable of policies and procedures, and encourages practice staff to comply. Maintains awareness of the patient needs and the staff availability. Prepares schedules and coordinates the assignment of breaks, meals and in-services to maintain adequate coverage. Ensures patient care is not affected by staff coverage. Monitors patient flow and takes appropriate action to optimize practice visit times; communicates delays to patients. Coordinates the daily preparation of staff and materials to facilitate next day practice operations. Addresses patient, family concerns to resolution. Communicates incidences and outcomes to the Practice Manager. Delegates and oversees the maintenance of clinical equipment. Provides research and coordination with the physicians and manager during the purchase of new equipment. Identifies situations that can negatively impact operations/patient satisfaction and takes appropriate actions. Communicates situations and outcomes in a timely manner to practice physicians and manager.

Promotes staff and team development

Leads the practice staff in supporting the mission, values and management of the organization. Utilizes the chain of command and effective communication skills. Supports change and is a positive influence in promoting staff cooperation. Strives to develop working relationships among team members, physicians and administrative staff that are characterized by mutual support, open communication, trust and respect. Collaborates with Organizational Education to ensure the clinical development/competency of staff. Identifies performance indicators for area of expertise and provides staff education to improve clinical outcomes. Performs quarterly audits and reports outcomes to hospital Performance Improvement Department (ex: Infection Control).

Assists the Practice Manager with functions.

Collaborates with the Practice Manager to identify, implement and evaluate opportunities to reduce costs without negatively impacting quality. Proactive in assessing schedules and soliciting feedback from staff or other disciplines involved in the practice. Assists the Practice Manager with HR functions such as staff selection, discipline and evaluation. Assists the Practice Manager to assure effective, and timely communications to all staff.

Warren Orthopedics and Sports Medicine

  • Applies and removes casts, splints and braces.

Community Care Center

  • Performs or assists with urine analysis, urine pregnancy, and hemocults.
  • Has knowledge and competent skills to perform adolescent and adult immunizations and simple injections and intra dermal injections.
  • Assists patient and physician provider with prescription assistance application and medication receiving process (i.e. logging of medication, printing patient education information from web site, etc…).

Neurology

  • Assists with vagal nerve stimulator
  • Has knowledge and competent skills to perform and assist with infant, child, adolescent and adult injections including intra dermal injections and others.

Physiatry

  • Performs urine drug screen collection.
  • Assists with EMG equipment and testing.

Plastic and Reconstructive Services

  • Fosters a continuity of care to repeat cosmetic patients which includes a high degree of hand-holding and personalized attention to the details of the entire cosmetic patient experience in the practice.
  • Is familiar with and assists the physician with explaining certain cosmetic procedures and products, answers questions and offers guidance with cosmetic product selection.
  • Reviews preoperative and postoperative instructions for cosmetic procedures such as Fraxel treatments, Botox and/or filler injections and augmentations, etc…. Interfaces with patients’ families for satisfactory patient experience.
  • Maintains inventory of cosmetic related products (i.e. Botox, Obagi, etc…).
  • Generates cosmetic patient quotes with all associated fees and explains the proposed quote to the patient for cosmetic procedures and/or products.
