We are looking for a smart and tech-savvy events & marketing coordinator to help create and implement strategic marketing initiatives. Areas of focus will include events (virtual and, eventually, in-person), social media, email, and website marketing. In this role, you will develop original content and suggest creative ways to attract new customers, engage our community, promote our brand and drive sales.

This full-time position will support and report directly to the Marketing Director and it requires the flexibility to work evenings and weekends on an as-needed basis.

RESPONSIBILITIES

Event Planning

  • Work closely with the marketing director to create a strategic plan to help relaunch Trident’s event programming, with an initial focus on virtual events
  • Establish a program for weekly recurring events and create unique special events
  • Lead the ideation of virtual event concepts, including the use of emerging technology, innovative themes, experiences, and activities
  • Engage partners and the local community to book events (authors, gamers, poetry/storytelling groups, chefs, artists, etc.)
  • Use Edelweiss event grids to reach out to publishers to book desired author events
  • Once in-person events can safely and responsibly resume, future responsibilities include:
  • Create and book events that attract social gatherings for dining and entertainment (i.e., murder mystery, themed trivia, themed parties, speed dating, etc).
  • Create private event packages for special occasions (i.e., private brunch, bridal showers, baby showers, graduation parties, etc.)

Event Management

  • See all event concepts through to final execution and take ownership of the attendee experience
  • Serve as the virtual event host and “face of the Trident” as needed
  • Ensure you or a staff member (who is fully prepared) is running every event
  • Prepare book orders for author events two weeks in advance
  • Coordinate promotions and/or staffing needs with the bookstore and cafe managers
  • Test and facilitate any and all technology for virtual events (Eventbrite, Zoom, etc.) and serve as tech support if problems arise
  • Once in-person events can safely and responsibly resume, future responsibilities include:
  • Manage room set up (podium, tables, chairs, decorations, etc.) and A/V (microphone, projector, batteries, etc.)
  • Greet and accommodate special guests such as authors and other speakers
  • Prepare books in the event room to be signed and purchased
  • Greet and welcome attendees and take tickets if applicable

Event Communication

  • Respond to all event inquiries, and discern which will be a good fit for the Trident. Kindly respond to those that we will not book, as well.
  • Send Event Guidelines and Event Proposal forms to upcoming authors once an event is booked
  • Send follow up emails to each author or event organizer to get feedback on each event
  • Communicate upcoming events and promotions to all staff weekly either via email or Slack
  • Maintain an events spreadsheet up-to-date with attendance and sales information
  • Attend daily and weekly meetings with the marketing director and other managers as needed

Event / General Marketing

  • Work closely with the marketing director and other collaborators to develop a monthly content calendar for Facebook, Instagram, Twitter, Tiktok, etc.
  • Work closely with the marketing director and other collaborators to curate content (specifically as it relates to events) for a weekly email newsletter and the website
  • Help create engaging text, image and video content to create buzz and build a following, especially for event promotion
  • Generate ideas to increase event exposure, including posting events to community sites/event calendars such as Boston.com, the Patch, and others
  • Coordinate a weekly update of events and promotion chalkboard behind the front register and in-store materials/signage as needed

QUALIFICATIONS & SKILLS

  • A passion for reading and appreciation for indie bookstore culture
  • 1-3 years of previous events and/or marketing experience is preferred
  • Proficiency with virtual event and social media platforms
  • Top-notch written, verbal and interpersonal communication skills (extra points for strong copywriting skills and an eye for design!)
  • Strong time management skills with the ability to multitask
  • Detail-oriented approach with strong organizational skills, especially when managing calendars, high volumes of email, and time-sensitive tasks
  • Accountable, reliable, and able to work both independently and as part of a team
