About this Position:
The Conference Coordinator is a temporary position to coordinate logistics and successfully execute tasks for PEAK’s Annual Conference on Inclusive Education in February 2020.
Essential Job Responsibilities
Executes project plans in support of PEAK’s Annual Conference of approximately 400-500 attendees, exhibitors, and speakers.
Manages all pre-event coordination and logistics (meeting space, exhibitor space, food and beverage, entertainment, signage, and audio visual needs, etc.).
Confirms and communicates with speakers; gathers speaker presentation summaries and content; collaborates with Communications Manager to produce conference program and other promotional materials.
Tracks air flights and coordinates AV and handout needs, and any other speaker and exhibitor needs.
Orchestrates meeting needs for Youth Leadership Strand (room, food, AV needs, etc.)
Works with Development Manager to track details of VIP/Legislative invites, sponsors, exhibitors, and silent auction donations.
Ensures attention to financial and time constraints.
May have to solicit competitive bids and negotiate with contractors to achieve the most favorable terms.
Oversees the on-site event and is the primary point-of-contact for questions and problems that arise pre-event and during the event, maintaining a positive attitude.
Collaborates with Operations Manager to coordinate event staffing.
Evaluates the event’s success and submits reports.
Education and Formal Training
High school diploma required. Associates or Bachelor’s Degree in hospitality management or other related degree is desired.
Knowledge, Skills and Abilities
Previous relevant experience and expertise in planning and successfully implementing a conference of comparable size (500+ attendees)
Ability to communicate effectively, both orally and in writing, with co-workers, supervisors, vendors, external partners, and the public. Must have negotiation skills to communicate with vendors
Very strong attention to detail and managing multiple tasks simultaneously
High level of professionalism, integrity, and ethics
Ability to apply common sense understanding to carry out instructions furnished in written or oral form
Ability to work independently and organize tasks
Strong interpersonal and collaboration skills in order to engage and mobilize people resources
Ability to perform duties and responsibilities in a timely and effective manner in accordance with policies, programs, and guidelines to achieve the overall objectives of the position
Demonstrated proficiency in Microsoft Office Suite and database software (Salesforce). Must be able to communicate, plan, track and organize electronically.

Able to use problem-solving skills to quickly resolve issues
Other Job Requirements
Hold a current Colorado Driver’s license and have a dependable vehicle with valid insurance.
Must follow proper safety procedures when performing physical job tasks.
Participate in staff team meetings.
Has a child or adult with a disability preferred
Bi-lingual (English and Spanish language) skills preferred
