The basic purpose of this job is to foster and maintain relationships with current parents, alumni, alumni parents, and the external community in an effort to advance the mission of the School. Strong volunteer leadership skills are critical to success in this position. It is expected that 50% of this employee’s time will be dedicated to executing events for fundraising and stewardship and the remaining 50% to developing alumni relations.

Examples of Essential Functions:

EVENTS

1. Oversee all aspects of fundraising events (Gala and Movie Night), including but not limited to:

  • Recruit, manage and support event chairs and committee
  • Develop and manage event budget (including monthly reconciliation with Business office) to ensure revenue goals are met or exceeded
  • Partner with vendors and venue; negotiate contracts, manage logistics
  • Solicitation and collection of sponsorships and donations;
  • Create and maintain event-planning timeline and communications plan; use of marketing channels to effectively promote the event
  • Draft necessary script/talking points for event participants

2. Oversee all aspects of donor stewardship/recognition events, including but not limited to:

  • Develop and manage event budget
  • Partner with vendors and hosts; manage logistics

ALUMNI

1) Develop alumni relations and find meaningful ways to engage alumni and alumni parents with the school. This includes but is not limited to:
  • Plan and execute alumni events to promote purposeful connection with the school, including annual class reunions
  • Establish an Alumni Association and recruit engaged participants
  • Develop and communicate giving opportunities for alumni and alumni parents (annual giving, capital campaign)
  • Coordinate annual alumni award and alumni induction ceremonies
  • Manage alumni database and alumni relations calendar
  • Maintain historical information, photos and general archive
  • Work with the Middle School Director and staff, on occasion, to inform and engage eighth graders about importance of alumni relations

2) Gather feedback from alumni community to provide content for alumni sections of the Pegasus website, social media, Annual Report, and Pegasus Magazine.

Convey a positive image of The Pegasus School at all times when working with alumni, parents, employees and the public.

Qualifications Guidelines

Experience/Training/Education:
Required – Employee should have a bachelor’s degree in marketing, hospitality or the like and 3-5 years of fundraising event-planning experience in a school or non-profit organization; or equivalent combination of education, training and experience.

Desirable – Bachelor’s degree in marketing, hospitality or the like; 5-7 years of fundraising event-planning experience in a school or non-profit organization; additional coursework or certificate in the area of fundraising.

Knowledge/Skills/Abilities:
Requires knowledge of fundraising techniques, event planning and volunteer management; use of Google suite; as well as strong writing and presentation skills. Ability to work independently or collaboratively to deliver results; exercise independent judgment;
understand, follow and give written and verbal instructions; prioritize tasks; adhere to deadlines and communicate effectively with parents, employees, vendors and the public.

Physical and Environmental Elements:
This is primarily a sedentary office classification and employees work in an office environment with moderate noise levels, controlled temperature conditions and no direct exposure to hazardous physical substances.

Finger dexterity is needed to access, enter and retrieve data using a computer keyboard, typewriter keyboard or calculator and to operate standard office equipment. The position occasionally bends, stoops, reaches, pushes, and pulls drawers to retrieve and file information and lifts and carries reports that typically weigh less than 20 pounds.
