Provide professional administrative support to the Senior Vice President and Chief of Staff. Manage multiple administrative processes and programs. Fulfill all administrative functions of the SVP's office including travel, correspondence, scheduling, meeting/event arrangements, and fostering positive relationships with key external and internal stakeholders. Communicate on behalf of the executive as directed. As part of the Office of the President ("OOP") team, fulfill select administrative functions and assist with occasional activities, events, and other OOP duties. This position will interact on a consistent basis with: Institute leadership including the President, other academic and administration executives and assistants, executives and administrative staff from other universities, the Board of Regents and the executive's office callers and visitors. Job Duty 1 –

Strategically manage the SVP's calendar and overall time commitments in support of institutional goals. Prioritize appointments and requests for the SVP's meetings. Assist in preparing the SVP for meetings, events, etc. Coordinate with assistants in relevant Institute units.

Job Duty 2 –

Serve as primary point of contact for visitors and callers to the SVP's office. Coordinate domestic and international travel arrangements on behalf of the SVP to include transportation and overnight accommodations; prepare travel authorizations and itineraries. May include arrangement for visitors.

Job Duty 3 –

Coordinate the signature and redistribution of documents as needed. Re- assign and forward documents as appropriate. Maintain SVP's office filing system and organization of pertinent and confidential documents.

Job Duty 4 –

Under the direction of the SVP, assist in planning and executing projects and initiatives.

Job Duty 5 –

Engage with internal and external stakeholders to plan, coordinate, and execute select projects and initiatives. Represent the SVP in related meetings and discussions.

Job Duty 6 –

Develop timelines and update the SVP on progress.

Job Duty 7 –

Plan, organize and lead implementation of programs, events and visits, including professional development meetings for the office staff, monthly staff meetings, etc.

Job Duty 8 –

As part of the OOP team, assist with select OOP programs, events, and visits. In coordination with the Director of Presidential Operations, draft and prepare correspondence and documents which may include research and other materials for visits, conferences, meetings, etc.

Job Duty 9 –

Provide advice and interpretation of administrative polices for OOP. Assist with development of internal office related policies as appropriate. Serve as OOP back-up for financial, HR, and administrative processes, as needed.

Job Duty 10 –

Perform other related duties as assigned

Required Qualifications

Educational Requirements
Technical Diploma, Associate's Degree or equivalent combination of education and experience

Required Experience
Six years of job related experience

Preferred Qualifications

Additional Preferred Qualifications
Previous experience working with senior management and experience working in higher education is preferred.

Preferred Educational Qualifications

Bachelor's Degree or four years of college course work in a business-related field
