The City of Irving”s Capital Improvement Program (CIP) is seeking a highly responsible team oriented individual to provide complex administrative support to the CIP department director and staff. The Administrative Specialist develops, monitors and coordinates the department and fund”s multi-million dollar annual budget, reconciles up to $5,000 in expenditures per MasterCard or P-Card. Additional duties include preparing Council agenda items, correspondence, legal notices, resolutions, PowerPoint presentations, purchase orders and various reports; coordinating with staff and other City departments to gather and assemble agenda packet materials for various Council committee meetings, and taking and transcribing meeting minutes; participating in departmental budget preparation and administration; maintaining contract management files and key databases; assisting with the Franchise Utility permit process; tracking and reconciling purchasing records; managing personnel records and ensuring that employees earn and retain required licenses and certifications; and handling citizen inquiries and open records requests. An Associate degree or equivalent, and five years of increasingly responsible executive level administrative experience required. Must have a high level of proficiency with Microsoft Office products. PAY GRADE GG17 / FULL RANGE $22.58 – $31.84 PER HOUR ($46,968 – $66,240 ANNUALLY) Benefits
