Administrative Assistant I – Middletown, DE 19709

SUMMARY STATEMENT:

This is an entry level position where incumbents are responsible for greeting visitors to the organization office(s) both in person and via telephone, preparing correspondence, and performing various administrative tasks as needed. A typing test may be used as a skill assessment.


PRINCIPAL RESPONSIBILITIES:

  • Greets visitors and guests to the company office(s)
  • Answers and forwards incoming telephone calls, taking messages as needed
  • Processes and prepares correspondence
  • Maintains administrative schedules and appointments
  • Performs various administrative tasks including but not limited to, filing, incoming and outgoing mail processing, copying, typing, and data entry
  • Acts as initial customer service representative
  • Performs related work as required

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

  • Knowledge of multi-line phone systems
  • Knowledge of PC functions and word processing programs
  • Knowledge of customer service principles and practices
  • Knowledge of office and clerical procedures and practices
  • Skill in typing / keyboarding
  • Skill in telephone techniques
  • Ability to perform to and maintain high levels of customer service
  • Ability to maintain accurate and up to date schedules
  • Ability to foster and maintain positive customer relationships seeking to enhance organizational image and reputation
  • Ability to interact and relate well with individuals of various socioeconomic backgrounds in various situations.

ADDITIONAL REQUIREMENTS / EDUCATION

High School Diploma or GED

Any combination of knowledge, skills, or education which demonstrates competency in required areas.
